Clean Your Tally Masters Before Importing (Checklist)

2026-10-07 · 1 min read · हिंदी में पढ़ें

Why cleanup comes first

Import matches rows to masters by name. "Sharma Traders", "SHARMA TRADERS" and "Sharma Traders " (trailing space) become three ledgers — and three different balances. Ten minutes of cleanup saves hours of reconciliation.

The checklist

  1. Merge duplicates: search ledgers for near-identical names, keep one, move balances, delete the rest.
  2. Fix groups: every ledger under its correct group (Sundry Debtors, Sundry Creditors, Duties & Taxes). Wrong groups break GST reports.
  3. Retire dead stock items: zero-quantity, never-used items — delete or mark inactive so they don't clutter selections.
  4. Standardize naming: one pattern everywhere, e.g. "Name - City" for parties. No trailing spaces, no special characters.
  5. Verify voucher types: Sales, Purchase, Receipt, Payment, Journal, Contra all present with correct numbering.
  6. One GSTIN per registered party: no shared ledgers between two GSTINs.

Import after cleanup

Export the cleaned masters (or enter them fresh), then import in TallyImport under Masters → Import. The preview lists created, updated and skipped rows — skipped rows usually mean a name still mismatches, which is exactly what this checklist prevents.
