Daily Cash Entries Without the Evening Pile-Up

The evening pile-up problem

Cash bills collected through the day get entered at night, from memory, with errors nobody can trace the next morning. The fix is a short daily routine, not more effort.

The 10-minute routine

  1. Collect (2 min): stack today's bills — sales, purchases, expenses.
  2. Enter (5 min): one row per bill in the cash entry form. Same narration pattern every day ("Cash sale - counter").
  3. Verify (2 min): match the on-screen total with cash in hand. Mismatch? Find it now, not next week.
  4. Export (1 min): generate XML, import to TallyPrime, done.

Rules that prevent 90% of errors

  • Never backdate without a note in narration.
  • One voucher per bill — no clubbing a day's sales into one entry.
  • Expenses need a ledger that exists; create it in masters first.
  • Preview before generating: skipped rows mean a ledger name mismatch.

Month-end becomes boring

With daily entries, month-end is just: export the month, hand it to the CA. Trial accounts cover 25 vouchers a day — enough for most counters; busier shops move to Basic or Professional for headroom.
